Roles, Responsibilities and Workflow

Requester

Throughout the IT – PRM process, each request will go through several evaluations, reviews and approvals.  The requestor will receive multiple email notifications as the request is approved or one email notification if the request is declined at any point during the process with justification.

  1. Submitter gathers requirements to complete all required fields, request is submitted via IT Project Request (support.bedrock.com)
  2. Request is reviewed by Functional Area Lead for Approval or Declination
  3. Request is reviewed by IT personnel, a brief analysis is conducted
  4. IT Analysis is provided to Functional Area Lead for review and a secondary approval. Analysis will include: Other Areas Impacted, level of effort, cost estimate
  5. If secondary approval is provided, and request is large in scope (effort or spend) the request will be reviewed by the steering committee for final review and prioritization amongst other current IT initiatives:
    • If approved IT will contact you regarding next steps
    • If declined IT will inform you via email that your request has been declined

Functional Area Lead

Throughout the IT – PRM process, each request will go through several evaluations, reviews and approvals.  As the Functional Area Lead, you are responsible for approving of requests submitted to IT by your functional area members.   Two approvals are required before IT will begin working on any request.

Secondary Approval – Review IT provided analysis and assess if the business requirements are still valid.  If business requirements are still valid, please assess if the ROI will be worthwhile, understanding the level of effort and cost required to complete the request.  Providing your secondary approval, you approve of the estimated level of effort and spend required to the complete the request.  

  1. Functional area leads will receive notification via email when one of their team members has submitted an IT project request
  2. Functional area lead will review request and determine if request is valid. Using the buttons embedded within notification email:
    • Review and Approve if valid request
    • Review and Decline if invalid request
  3. Once approved IT will complete a quick analysis. Analysis will be sent via email for a secondary functional area lead approval. Using the buttons embedded within notification email:
    • Review and Approve if valid request
    • Review and Decline if invalid request
  4. If request is approved it will be reviewed by the Steering Committee
  5. If approved by the steering committee, requester and functional area lead will be notified to discuss next steps
